Cancellation Policy
At Charisma Clinic, we reserve dedicated clinical time for every patient. This policy explains how cancellations, refunds, and fees work so everything stays clear and fair. 1. Booking Deposit A deposit is required to secure your appointment. This deposit confirms your booking and allows us to prepare the surgery, staff, and materials in advance. 2. Cancellation Notice – 48 Hours (Two Working Days) If you need to cancel or reschedule your appointment, we ask for at least 48 hours’ notice (two working days). This gives us time to offer the appointment to another patient who may be waiting. Cancellations made within the required notice period can be rearranged without a fee, and your deposit will remain on your account as credit. 3. Late Cancellation (Less Than 48 Hours) If you cancel with less than 48 hours’ notice, your deposit becomes non-refundable. This is because the clinic, staff, and surgery have already been allocated for your appointment. 4. No-Show Policy If you do not attend your appointment without any notice, you will be charged a £110 no-show fee. This fee covers the wasted clinical time, staffing, and operational costs. Your deposit will also be fully forfeited. 5. Refunds Deposits are not refundable once an appointment is booked and time is reserved for you. If you cancel with enough notice (48 hours), the deposit may remain as credit for future appointments. If you cancel late or do not attend, the deposit is lost and the no-show fee may apply. 6. Treatment Refunds Once treatment has started or has been provided, no refunds apply under any circumstances. Dental materials, lab work, and clinical time cannot be reversed once preparation begins. 7. Multiple Appointments or Long Procedures Long appointments, surgical procedures, and implant visits require special preparation. These bookings may require a higher deposit. The same cancellation and no-show rules apply. 8. How to Cancel You can cancel or rearrange by: • Calling the clinic • Sending an SMS • Emailing the reception team Messages sent outside working hours count from the next working day. 9. Agreement By booking an appointment at Charisma Clinic, you agree to: • Provide 48 hours’ notice for cancellations • Accept loss of deposit for late cancellations • Accept the £110 no-show fee if you do not attend • Understand that treatment fees are non-refundable once treatment has begun This policy helps us run the clinic smoothly and keep appointments available for all patients.
